Information we collect

When an adult sends a party request, we collect the contact and event details needed to review it.

• Adult name, email, text-enabled phone number, and preferred contact method
• Requested date, time, alternate date, city, and venue type
• Guest count, age group, optional visual style, and general notes
• Optional participation preferences and prize material or scent concerns
• The venue address after the date is approved
• Payment amount, status, provider, refund status, and transaction reference

The first request does not ask for a diagnosis, medical history, child photo, child’s full name, or exact home address.

How we use information

We use the information to review requests, contact adults, plan activities, collect payment, provide the party, and keep required business records.

Participation details stay in the protected dashboard and are not included in routine parent or admin email messages.

Services that help run the website

We use service providers to host the website, store protected records, send email, and process payments.

• Vercel hosts the website and server functions.
• Supabase stores party records and provides admin sign-in.
• Resend delivers party and payment email.
• Stripe processes card payments. Asheville Scoopies does not store full card numbers.
• Google Analytics receives basic website activity only after the visitor accepts analytics.

These providers handle information under their own privacy and security terms.

Analytics choice

Google Analytics does not load until you choose Accept Analytics. Accept and Decline are both available, and you can change the choice from Cookie Settings in the footer.

We do not send contact details, party dates, addresses, participation needs, or payment identifiers to Google Analytics.

How long we keep records

Asheville Scoopies uses a manual deletion process. The private dashboard reminds the owners to review old unbooked requests and records for past parties.

When personal information is removed, names, contact details, addresses, participation notes, prize notes, and private notes are cleared. Payment amount, provider, refund status, and transaction references may remain for accounting.

Children’s privacy

The request form is for parents, guardians, and event organizers age 18 or older. Children do not create accounts, and the first request should not include a child’s full name or photograph.

Security

Party information is limited to approved admins, and payment card details are handled by Stripe. No internet service can promise complete security, so please share only what is useful for the party.

Your choices

You may ask to review, correct, or remove personal details associated with a party request.
